Our formal association with Tiger Eye Consulting began in 2005. We had an eight-year-old version of a Document Management System that was no longer supported by Microsoft. When it was first installed it may have been cutting edge but in the eight years since improved software and functionality became available that had the potential to improve our productivity and save costs. It was clear that we needed to upgrade because the short-term costs would soon be re-paid.Certainly it became apparent from talking to David Wilson at Tiger Eye Consulting that Matter Centric Filing was the future for us. This would enable us to drag and drop emails and documents into our Document Management System and key data would be automatically captured in the folder to enable easier searching. The documents would be easier to file and then easier to find.
David worked with us to analyse our existing system, identifying the most cost effective and reliable pathway to an upgrade which included all the customisations that had been made.
Ensuring that all the functionality within the various systems fitted together and worked effectively was difficult to achieve, however the upgrade was successfully finalised, tested and implemented.
Tiger Eye then trained around 50 users to use the new software, largely in blocks of eight people in a meeting room. Some required 1-1 training and they provided that as well.
And once we went live Tiger Eye were on-site and available; walking the floors, answering questions, dealing quickly and efficiently with any bugs or issues. Thereafter they have supported the life cycle of the system, easily contactable by phone and email, happy to provide ad-hoc advice on general IT-related issues. We now see them as much as a partner as a supplier.
Indeed I see their flexibility as one of the benefits of working with them. They adapt to what we need as a client – and over a long period of time they have been utterly reliable, knowledgeable, professional and keen to over-deliver.
David Wilson has been our key point of contact throughout and that continuity is critical. There is nothing more frustrating that working with third parties and suppliers who have a high turnover in staff. Once day you are speak to someone, the next they are gone and you have to invest time briefing the next incumbent and getting them up to speed. That hasn't happened with Tiger Eye, perhaps partly because they are a small company that specialises in a niche area.
Anyway, the upgrade worked well. Thereafter we did not have as many system issues as before and we were more productive because we spent less time filing and searching for documents even though we scanned in significantly more documents than we had before. By increasing the number of documents within our system we created extra office space and reduced the amount of paper
What comes next? Well, five years on, we intend to upgrade our Document Management System shortly and would anticipate that we will be working to Tiger Eye Consulting again to oversee the project.
