We enlisted the help of Tiger Eye Consulting when we were based in Soho in small, rented offices that were becoming increasingly filled with paper. It became increasingly apparent that we needed to improve our working practices as we were disorganised and spending too long looking for files and then information within the files.I was also aware that, to some extent, we were exposed from a business continuity and disaster recovery perspective in the event of an incident to the premises. Having access to files and information when we need them is crucial – for us, our clients and to fulfil our compliance responsibilities. So we wanted to reduce the amount of paper, improve the way we worked and so begin to change the culture of our organisation.
An office move proved to be the catalyst and once we had contracted Tiger Eye Consulting and they had undertaken their initial research they came up with an excellent action plan to help us, featuring the implementation of two main products.
The first enabled us to scan and electronically file our paper mountain, which has gradually reduced, though we still have a way to go until we are a paperless office. In addition to the old files every new hard copy document is now scanned.
Because we can search for these scanned documents on our document management system using sophisticated optical character recognition we have no trouble in locating the documents when we need them. It is definitely a vast improvement and we are more productive.
The second piece of software allowed us to synchronise our billing systems with the document management system. We have organised our business content such as files, reports and emails much more effectively – partly I think our approach is so much more joined up.
The benefits have been significant. We now spend less time looking for documents; our email storage has been reduced; we have saved at least £50,000 on our disaster recovery planning; are in compliance with our regulatory requirements; have unified working practices; have more space available and a better working environment.
All in all I am very happy to share that we have received outstanding services and value for money out of our collaboration with David Wilson and the Tiger Eye Consulting team.
Certainly we are now able better focus on the core elements of what we do as our systems and the way that work is now an asset rather than a burden.
