Driving Efficiency And Improving The User Experience For The Corporate Legal Team At Currys By Migrating To Cloud iManage

The Challenge

The in-house legal team at Currys have been supported by the iManage knowledge work platform for many years, relying on the platform’s best-of-breed features for document and email management including collaboration, version control, Zero Trust security and much more.

However, the team were experiencing issues with the organisation’s legacy version of the iManage platform. In particular, staff were facing challenges with the platform’s user experience, with limited user adoption across the team.

Currys came to Tiger Eye, the organisation’s longstanding iManage Partner, seeking approaches to improve the user experience of the iManage platform, as well as to enhance efficiency and improve user adoption.

Though the team at Currys were already using the iManage Cloud, they had yet to move to the latest version of the iManage Cloud: Cloud iManage (or cloudimanage.com). However, the Cloud iManage endpoint offers iManage users access to a broad range of features and add-ons for collaboration, including advanced Co-Authoring, the Microsoft Teams and iManage integrations, and much more.

Tiger Eye’s dedicated iManage Cloud consultants recommended that Currys should upgrade to the latest version of iManage, to give users access to the cloud-native Azure platform, and provide access to powerful, collaborative cloud-only features. In providing the team with the latest technology, the migration and upgrade would directly address user challenges and enhance workflows.

The Solution

Following initial consultations, Currys agreed to embark on a project to migrate to the latest cloud technology and the Cloud iManage endpoint. To further support the user experience, Tiger Eye would also upgrade Currys’ platform from the FileSite Desktop Client to the iManage Work 10 Desktop, which would provide a more intuitive user interface.

The project began with a Project Kick Off call, enabling Currys and Tiger Eye to discuss and agree roles, responsibilities and priorities. Next, Tiger Eye carried out a review of Currys’ existing iManage platform, in order to highlight any data remediation issues that would need to be addressed before the migration for a smooth, successful cloud transition. As part of this, the wider technology stack was also analysed to ensure any existing third-party integrations or add-ons would continue to work with the cloudimanage.com endpoint.

A full project timeline was then created by Tiger Eye’s Design and Delivery team, incorporating all of the necessary actions required for the transition, alongside task owners and a clear overview of costs. The project timeline was shared with Currys alongside an active, live project dashboard which could be accessed by Currys throughout the project, providing an update on progress, deliverables and the budget used to date.

Any data remediation issues that needed to be addressed were then actioned swiftly by Tiger Eye’s iManage-certified engineers. Following this, a number of technical tasks and updates were also carried out to prepare the platform for migration. This included the configurations of SAML for secure single-sign on across the new platform. Tiger Eye also set up test machines, which were to be used by members of Currys’ pilot testing group later on after the initial transition.

Tiger Eye’s iManage specialists then completed initial service transition tasks, including the provisioning of key accounts for end-users and system administrators, ensuring security was set accordingly. During this phase, core functionalities to support the user experience were also enabled and configured, including the ‘edit in web’ feature for the Microsoft Office suite.

Once all of the preparatory technical work was completed, the final transition date was set. The endpoint was transitioned to cloudimanage.com and the team at Currys then tested the platform, in collaboration with Tiger Eye, to ensure the migration had been successful. Testing was performed across devices, assessing platform access and third-party integrations. Core document operations were also tested in the new platform to ensure all features and functionality were working successfully and available as needed.

With all user acceptance tests completed, the final launch date was then confirmed, and Currys prepared to take full advantage of the newly-transitioned platform.

To ensure that all of the iManage users at Currys were empowered to make the most of the iManage platform, Tiger Eye provided tailored training sessions covering key platform enhancements. The training also covered core functionality to address any existing challenges with the user adoption of the platform. For system administrators, insights were shared regarding the key changes to the iManage Control Centre in Cloud iManage, which would be accessed and used for ongoing platform management by Currys’ IT team.

The Cloud iManage subscription was then activated, and all users had access to the new platform.

Currys’ migration to cloudimanage.com was completed swiftly, with the services delivered significantly under budget for the project. This was in part due to the high level of collaboration between both parties throughout the process, with Tiger Eye and Currys working as one team to drive results.

Results Delivered Through Cloud iManage

Currys’ move to Cloud iManage is directly empowering users to work more efficiently. The migration project exceeded expectations, with exceptional client service delivered throughout by Tiger Eye’s Design and Delivery team. Plus, the transition project was completed under the original budget.

The migration has also resulted in improved engagement with the iManage platform across Currys’ in-house legal team, as staff see the benefits of the new system including its look and feel, user experience and functionality.

Next Steps

Working closely with Tiger Eye, the team at Currys are exploring how the new functionality available via the iManage Cloud (and the cloudimanage.com endpoint) can further benefit the firm across collaborative workflows. For example, the team are actively working to test and use cross-device collaboration, which can benefit users who work remotely, or collaborate while travelling.
