Introducing our AI Curation Assistant for Knowledge Management: the powerful new feature for knowledge sharing and curation, powered by Azure OpenAI.
Like most law firms, Fox Williams rely on multiple legal applications, technologies and tools to operate as a business, delivering trusted advice and managing client relationships. However, their technology stack included a range of siloed, disconnected systems, which caused user frustrations, limited confidence in activity data, and added pressures to the IT team.
Fox Williams’ team of over 200 staff use two core technologies for legal workflows: the iManage Cloud for managing and storing knowledge work, and a separate platform for accounting and practice management.
To keep workflows running, the firm’s IT team were required to make manual updates in iManage to reflect changes made in the Practice Management System (PMS). This included creating iManage Workspaces, but also updating them, which was a frequent requirement. For example, manual efforts were needed to update a client’s name, whether it be a company rebranding, or an individual changing their surname following marriage for example. This process was reliant on IT teams or iManage administrators making updates, which was time consuming. This manual process also meant users saw delays in key processes such as the creation of iManage Workspaces, which at times impacted their ability to begin client work.
Fox Williams first adopted Tiger Eye’s iManage integration (between the firm’s PMS and iManage) back in 2023, to create a connected data flow between the two solutions. Following the release of Tiger Eye Administrate (Tiger Eye’s modular solution for data management), Fox Williams then moved to the Administrate Sync module to enhance this process further, and benefit from a future-proof solution.
The transition to Administrate was smooth, with every care taken to minimise disruption to the firm’s operations and end users. Tiger Eye’s Design and Delivery team facilitated the implementation of Administrate, connecting iManage and the PMS, and also using the tool to create automations to further support Fox Williams’ processes, reducing manual efforts and reducing time waste.
Now, using Tiger Eye Administrate, Fox William’s iManage and Practice Management System are connected seamlessly. Powerful automations are taking pressure away from the IT team, and providing end users with the confidence that client data is accurate and up to date across the connected systems.
As Mark Stephenson, IT Operations Manager at Fox Williams, commented:
“The transition itself was impressively smooth, with minimal disruption to our day-to-day operations. Overall, Administrate Sync has made our workflow much more efficient and reliable.”
With Tiger Eye Administrate’s iManage integration, users have confidence that the information in iManage is up to date. When new clients are added to the Practice Management System during client intake processes, iManage Workspaces are automatically created, providing a secure store for documents and client correspondence to be saved, accessed and collaborated on. Key information such as the status of a matter is now also automatically updated if relevant updates are made in the PMS, too.
To further streamline the process, a shortcut is added for each iManage user when the individual is assigned to a client’s matter group within the Practice Management System. This helpful shortcut, found within iManage, provides users with quick access to the relevant iManage Workspace, so they can track progress or add content to the location.
In addition to reducing pressure on the firm’s IT team and improving the user experience, Administrate is providing additional governance and protection through the integration. For example, automations ensure that the security of a matter is consistent across both clients in the Practice Management System and Workspaces in iManage. This way, content which is locked down in one system is restricted as needed in the connected system.
Commenting on the impact of Tiger Eye Administrate on the firm’s operations, Stephenson added:
“Since we transitioned to Administrate Sync, the improvements have been noticeable and genuinely impactful. Now, with Administrate Sync in place, users no longer have to wait for iManage Workspaces to appear, and the entire process has become remarkably streamlined. This seamless integration has taken a lot of pressure off the IT team, and our end users are able to focus on their work without those frustrating delays.”
