Learn how Tiger Eye Administrate seamlessly connected Napthens’ CMS to iManage, enabling users to work with real confidence in the firm’s data

The Challenge

Like most law firms, Napthens uses the iManage document and email management system (DMS) as one of their core platforms for legal workflows. While iManage is the centre for managing matter-related content, the firm also relies on additional solutions to complete essential processes and manage the full client lifecycle.

At Napthens, iManage is used in partnership with the firm’s Case Management System (CMS), which supports matter management and key client-related processes.

These systems underpin the day-to-day operations of the firm, with over 300 staff members relying on the DMS and CMS together to secure documents and emails, work on cases and manage client relationships. Yet, without a direct integration between the two solutions, records were not fully synchronised across the technology stack. This led to avoidable delays and inconsistencies in matter data.

Napthens sought to connect iManage directly to the firm’s Case Management System. In doing so, the firm wanted to drive improved data governance, increased efficiency and greater user productivity, for example by negating the need for staff to make manual updates in one system following changes in another. So, the firm selected an appropriate integration and connected the two solutions.

Yet, after a period of usage, the firm recognised that the process could be further enhanced. This led them to explore the market and choose an alternative iManage integration provider.

The Solution

Having recently chosen Tiger Eye as the firm’s new iManage Support Partner, Napthens worked the trusted provider to replace the existing iManage-to-CMS integration with a more flexible and tailored solution. Ultimately, the firm adopted Tiger Eye’s Administrate Sync module: a configurable iManage integration which would enable a direct, governed data flow, but also provide the necessary flexibility to improve upon the existing set-up.

Tiger Eye’s Design and Delivery team worked closely with the firm to ensure the module was seamlessly installed and tailored to achieve optimal results. Following consultations with the firm, Administrate was configured to run at more frequent intervals (rather than the standard 10–15-minute interval), increasing the frequency of updates delivered to iManage. Whilst a seemingly small change, this enhancement would deliver significant results to the firm and its end users, by reducing potential delays in key tasks such as iManage workspace creation, or metadata updates.

Results

Connecting iManage to the firm’s Case Management System seamlessly, Administrate Sync has delivered a noticeable improvement in the way Napthens manages data across its core systems.

With iManage updates made frequently, powered by regular data synchronising, users no longer risk losing time while waiting for systems to catch up. Changes to client records are now automatically mirrored across systems, enabling users to work with real confidence in the firm’s data. Client and matter information is accurate, reliable and up to date, with no disruption to end users – and without manual efforts from the firm’s IT team.
